Position Title: Event Coordinator
Reports To: Executive Director
Employment Type: Full Time


Position Overview

The Event Coordinator is a central member of the Bella Rose Arts Centre team, responsible for ensuring smooth, professional, and welcoming front-of-house operations while also providing essential administrative support. This hybrid role combines event coordination, house management, fund development and administrative assistance, making it ideal for a detail-oriented, people-focused professional who thrives in both live performance environments and office settings.


Key Responsibilities

Event & Front-of-House Management

  • Serve as the primary point of contact for patrons, performers, and clients during events.
  • Oversee front-of-house operations, including audience services, event staff, concessions/merch, and ticketing support.
  • Ensure a safe, accessible, and welcoming environment for all guests.
  • Coordinate event logistics with technical staff, clients, and performers.
  • Prepare pre-show announcements, audience information, and event reports.
  • Handle patron concerns and resolve issues with professionalism and discretion.
  • Enforce safety procedures, emergency protocols, and accessibility standards.

Administrative Support

  • Provide day-to-day administrative support to the Executive Director and staff team.
  • Assist with bookings, contracts, and scheduling for performances, rentals, and rehearsals.
  • Assist with correspondence, document preparation, and record keeping.
  • Support marketing efforts through website updates, social media postings, newsletter and promotional materials.
  • Maintain office supplies, databases, and organizational files.
  • Assist with donor relations, fundraising campaigns, and community engagement activities as needed.
  • Managing fundraising opportunities with a focus on sponsorships, community partnerships and donor relations.

Volunteer & Community Engagement

  • Recruit, train, and supervise event staff.
  • Foster positive relationships with community partners, patrons, and renters.
  • Contribute to the Centre’s mission to promote, develop and host social, cultural and artistic programming in an economically sustainable model for growth and accessibility in the community.

Qualifications

  • Post-secondary education in arts administration, event management, hospitality, or related field (or equivalent experience).
  • Previous experience in event coordination, front-of-house management, or customer service required.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency with Microsoft Office Suite; experience with ticketing platforms or scheduling software an asset.
  • Ability to work evenings, weekends, and flexible hours as required.
  • Knowledge of performing arts, arts administration, or non-profit sector preferred.

Working Conditions

  • Combination of office-based and event-based work.
  • Evening and weekend hours required during performances and rentals.
  • Fast-paced environment requiring calm under pressure.
